Rotating shift schedule: Google Sheets to Google Calendar
Crews on a repeating pattern (days, swings, nights, days off) are easy to lay out in a sheet and hard to read in it. Calendrow puts each crew's shifts on its own calendar, including the overnight ones.
Who it's for: Plants, warehouses, hospitals, security and public-safety teams running 24/7 rotations.
The template
| Shift | Start | End | Crew | Post | Notes |
|---|---|---|---|---|---|
| Days – Crew A | 2026-12-07 06:00 | 14:00 | Crew A | Line 1 | |
| Swing – Crew B | 2026-12-07 14:00 | 22:00 | Crew B | Line 1 | |
| Nights – Crew C | 2026-12-07 22:00 | 06:00 | Crew C | Line 1 | Overnight |
| Days – Crew B | 2026-12-08 06:00 | 14:00 | Crew B | Line 1 | Rotation |
| Swing – Crew C | 2026-12-08 14:00 | 22:00 | Crew C | Line 1 | |
| Nights – Crew A | 2026-12-08 22:00 | 06:00 | Crew A | Line 1 | Overnight |
After making a copy, check the time zone: File → Settings → Time zone. A copy keeps the template's zone (US Central), and Calendrow reads times in the sheet's zone. CSV: in Google Sheets choose File → Import → Upload, then "Replace spreadsheet". Dates use the YYYY-MM-DD format, which Sheets reads as real dates in any locale.
Set it up in 3 minutes
- Open your sheet (or the template) and choose Extensions → Calendrow → Open Calendrow.
- Match the columns:
Calendrow field Column Title Shift Start Start End End (a time is enough) Location Post Description Notes - Create a calendar for it (Calendrow suggests a name), click Preview, check the times, then Sync.
Every row gets a status: Created, Updated, Unchanged, Skipped or Error, with a plain-English reason. Sync again any time; changed rows update their events and nothing is duplicated.
Tips
- Overnight shifts: a 22:00 start with a 06:00 end becomes an event that ends the next morning.
- Generate the rotation with formulas: fill the first cycle by hand, then copy it down and add the cycle length in days to the Start column (for example
=B2+7). - One calendar per crew: filter each crew onto its own tab (a FILTER formula works) and sync each tab to its own calendar, so people subscribe only to theirs.
- Daylight saving: a 22:00–06:00 shift on the night the clocks change is still written as 22:00 to 06:00 local time.
Questions
Can it generate a 2-2-3 or DuPont rotation for me?
No. Calendrow syncs the rows you have. Lay out one cycle and copy it forward with a date formula; Calendrow then keeps the calendar matched to the sheet.
What happens when someone swaps a shift?
Edit the row and sync again. The existing event changes; nothing is duplicated.
Launching on the Google Workspace Marketplace in November 2026.
